SOCIAL PROGRAM The Welcome Reception is included in the registration fee for full paying Conference Delegates only. This excludes Day Registrations and Pre Conference Workshops.

DISCLAIMER The services specified in the social program are available at the time of writing. However, in the event that any service(s) become unavailable or minimum numbers are not met, The Meeting Planners reserves the right to alter or cancel the event.
ENTRANCE TO CONFERENCE Each delegate of the Conference will receive a name badge on registration. The badge will be your official pass and must be worn to obtain entry to all sessions and to social functions.

REGISTRATION Payment of Fees Within Australia NOTE: Registrations will not be processed or confirmed until payment in full is received.
Payment may be made by cheque or credit card. MasterCard, Visa, Diners and American Express the only credit cards accepted by QEC 2008. Please note all transactions by credit card will appear on your statement as payment to “The Meeting Planners”.
Cheques should be made payable to “The Meeting Planners/QEC 2008” Your name and full address should be typed or printed clearly on the back of the cheque. Cheque payments from overseas must be a bank cheque in Australian Dollars drawn on an Australian Bank. No other currency will be accepted.
You may not pay your fees by direct transfer.
International Payments from overseas must be made by credit card or bank cheque in Australian Dollars only, drawn on an Australian Bank. Your name and full address should be typed or printed clearly on the back of the cheque. You may not pay your fees by direct transfer.
ACKNOWLEDGEMENTS Your registration and payment will be acknowledged via email or post with confirmation of your requirements according to your registration form. Your registration will not be processed or confirmed if payment does not accompany your form.
You will not receive any further publications before the Conference. Your letter of acknowledgment will include any further advice necessary prior to your arrival at the Conference.
CANCELLATION AND REFUND POLICY Cancellations received in writing at the Conference Office by Wednesday 27 August 2008 will be accepted and all fees refunded less an A$100 administrative fee. Cancellations received after this date cannot be accepted and will not be refunded, however transfer of your registration to another person is acceptable. The full name and details of the person that will replace you must be advised in writing to the Conference Office prior to the Conference. No refunds will be made for non-attendance at the Conference.
Registration Fees:
- On or before Wednesday 27 August 2008 will incur an A$100.00 cancellation fee.
- After Wednesday 27 August 2008 will receive a 50% refund of fees paid.
- After Wednesday 22 October 2008 there will be no refund however substitutes welcomed.
Accommodation:
- Deposit is non-refundable at Monday 20 October 2008
- One night’s deposit must be paid or credit card details provided at time of booking to guarantee accommodation reservation.
PRIVATE FUNCTIONS It is requested that you advise the Conference Managers of any private /corporate functions that might be planned outside of the official program. The Conference Managers would be pleased to assist with arrangements for any of these events.
PRIVATE TOURING/HOSPITALITY ARRANGEMENTS Should you have any specialised group requirements for private touring, transportation or hospitality services other than those organised for the official program, please contact the Conference Manager who would be pleased to assist with arrangements.
INTERNATIONAL DELEGATE VISA INFORMATION Quarantine Australia is free from many plant and animal diseases prevalent in other countries. Very strict quarantine rules apply to the import of animals and plants, which cannot be brought into the country without prior application. Animal and plant products are also restricted. For more information see the ‘Information for International Travellers’ on the Australian Quarantine and Inspection Service (AQIS) website, which you can access by visiting http://www.affa.gov.au
Visa Information Please note that all travellers to Australia must have a valid visa before boarding their plane. Travellers to Australia cannot apply for a visa on arrival, with the exception of New Zealand passport holders, who will be visaed on arrival in Australia. All international event participants, (other than New Zealander passport holders) should review the following information carefully. There are currently two possible visa options for adult event participants and the appropriate visa to apply for will depend on their country of passport.
IMPORTANT: It is the policy of the Conference office NOT to supply an invitation letter to unpaid or unregistered delegates as it is NOT required and does NOT assist in the visa application process.

INSURANCE Registration fees do not include insurance of any kind. It is strongly recommended that at the time you register for the Conference and book your travel you take out an insurance policy of your choice. The policy should include loss of fees/deposit through cancellation of your participation in the Conference, or through cancellation of the Conference, loss of international/domestic air fares through cancellation for any reason, loss of tour monies through cancellation for any reason including airline or related services strikes within Australia, failure to utilise tours or pre booked arrangements due to airline delay, Force Majeure or any other reason, medical expenses (including sickness and accident cover), loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. The Conference Managers cannot take any responsibility for any participant failing to arrange their own insurance. This insurance is to be purchased in your country of origin.
PRIVACY Australia operates under the Privacy Amendment (Private Sector) Act 2000. The Conference Managers comply with such legislation which is designed to protect the right of the individual to privacy of their information. Information collected in respect of proposed participation in any aspect of the Conference will be only used for the purposes of planning and conduct of the Conference, may also be provided to organisers of future events or used to provide you with information of other relevant events. It is also usual to produce a ‘Delegate List’ of attendees at the Conference and to include the individual’s details in such a list. Consent for publication of the individual’s information may be withheld when completing the Registration Form for the Conference. Individuals are also entitled to access the information held by written application to the Conference Managers.
